Privacy Policy
Last updated: 21 October 2026
This policy explains what personal information Ransley Turf collects, why we collect it, who we share it with and the rights you have over it.
In short: we collect what we need to deliver your order and answer your enquiry, we never sell your details, card payments are handled securely by Stripe, and you can ask us to show, correct or delete your information at any time.
1. Who we are
Ransley Turf is a turf, topsoil and garden supplies business based in Kent, trading since 1951. For the purposes of data protection law, Ransley Turf is the data controller for the personal information described in this policy.
Our address is Mardan, Kingsford Street, Mersham, Ashford, Kent TN25 6PF. You can contact us about anything in this policy by phone on 01233 621261 or by email at ransleyturf@mail.com.
2. The information we collect
We only collect what we need to take an order, deliver it and look after you as a customer.
- Order details: your name, delivery address, email address, phone number, the products you ordered and any delivery instructions.
- Enquiry details: anything you send us through our contact form, landscaping enquiry form, trade account application or by phone and email.
- Trade account details: company name, business address, contact names, phone numbers, company registration and VAT numbers, and any references you give us.
- Payment information: your payment is processed by our payment provider. We receive confirmation that payment has been made and the last four digits of the card, but we never see or store your full card details.
- Website information: your IP address, browser type, the pages you visit and the device you use, collected by our hosting provider so the site works and stays secure.
- Information stored in your browser: your shopping cart, wishlist and similar preferences are kept in your own browser's local storage on your device.
3. How we use your information
We use your information to:
- Take, process and deliver your order, including confirming delivery dates and contacting you about access.
- Send you an order confirmation, delivery updates and any follow-up about the products you bought.
- Answer enquiries, prepare quotations and arrange site surveys.
- Open and administer trade accounts, including invoicing on agreed terms.
- Keep proper business records, including accounting and tax records.
- Improve our website, products and service.
- Send you occasional marketing emails about products, offers and seasonal advice, but only where you have asked us to.
4. Our lawful basis for using your information
We rely on the following lawful bases under the UK GDPR:
- Contract: to take payment, deliver your order and provide the service you have asked for.
- Legitimate interests: to run and improve our business, keep records, prevent fraud and respond to enquiries. We always balance this against your rights.
- Legal obligation: to keep accounting and tax records and to comply with consumer law.
- Consent: to send you marketing emails. You can withdraw consent at any time.
5. Payments
Card payments are handled by Stripe, a payment processor, over an encrypted connection. Your card details are entered on Stripe's secure checkout and are never held on our website or seen by our staff.
Stripe processes your payment information as an independent controller for its own legal and fraud-prevention purposes. You can read Stripe's privacy policy on their website.
6. Cookies and similar technologies
We do not use advertising or tracking cookies. We use your browser's local storage to remember your shopping cart, wishlist and site preferences on your own device — this information stays in your browser and is not shared with third parties.
Our hosting and payment providers may set strictly necessary cookies to keep the site secure and to process a checkout. You can clear cookies and local storage at any time in your browser settings, though your cart and wishlist will be emptied if you do.
7. Who we share your information with
We never sell your personal information. We share it only where it is needed to provide the service:
- Our own drivers and delivery teams, so your order reaches the right place.
- Our payment provider, to take and confirm payment.
- Our email, hosting and IT providers, who process data on our behalf under contract.
- Our accountant and professional advisers, where needed for our records.
- The police, regulators or courts, where the law requires it.
8. How long we keep your information
We keep order and invoice records for six years, as required for tax and accounting purposes. Enquiries and quotations are kept for up to two years so we can pick up the conversation where it left off. Trade account records are kept while the account is open and for six years afterwards.
Website and technical logs are kept by our hosting provider for a short period and then deleted or anonymised.
9. Your rights
Under the UK GDPR you have the right to:
- Ask for a copy of the personal information we hold about you.
- Have inaccurate information corrected.
- Ask us to delete information we no longer need to keep.
- Ask us to restrict how we use your information.
- Object to us relying on legitimate interests, including for direct marketing.
- Receive the information you gave us in a portable format.
- Withdraw any consent you have given, such as for marketing emails.
10. Marketing
If you have signed up for our newsletter or updates, we will email you about products, offers and seasonal lawn advice. Every email includes an unsubscribe link, and you can also ask us to stop at any time by emailing ransleyturf@mail.com.
We do not share your details with other companies for their own marketing.
11. Keeping your information secure
Our website runs over an encrypted connection. Access to customer information is limited to the people who need it to do their job, and payment details never touch our own systems. If a data breach ever occurred that put your rights at risk, we would tell you and the Information Commissioner's Office without delay.
12. Children
Our website and services are intended for adults. We do not knowingly collect information about children.
13. Changes to this policy
If we change how we use personal information we will update this page and change the date at the top. Where the change is significant, we will make it clear on the website.
14. Contact us or make a complaint
To exercise any of your rights, or if you have a concern about how we have handled your information, contact us and we will do our best to put it right. We aim to respond to any request within one month.
If you are not satisfied with our response, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
